Privacy statement

In short: this website sets no cookies, runs no analytics and loads nothing from other companies. Our hosting provider keeps short technical logs to keep the site running. If you email us, we use your message only to answer you.

This statement covers the public website at peerhall.org. The Peerhall portal that a department uses, with member profiles, registrations and speaker schedules, has its own privacy notice, shown inside each department's portal.

Who we are

Peerhall is made by Porthos Studios, part of JekerValley B.V., registered with the Dutch Chamber of Commerce (KvK) under number 96829370, VAT number NL867781257B01. JekerValley B.V. is the controller for the personal data described here.

For anything about your data, write to hello@porthos.studio. The owner of Porthos Studios reads that address and answers privacy questions personally.

What happens when you visit the site

Legal basis: our legitimate interest in running a website that works and is secure (Article 6(1)(f) GDPR).

When you email us

If you write to hello@porthos.studio, for example to ask for a demo, we receive your name, email address, the name of your institution if you give it, and whatever you write. We use this only to answer you and, if you ask for one, to arrange and follow up on a demo. We do not add you to a mailing list.

Legal basis: taking steps at your request before a possible agreement (Article 6(1)(b) GDPR), or our legitimate interest in answering questions sent to us (Article 6(1)(f)).

We keep this correspondence for as long as we are in contact and delete it at the latest two years after our last exchange, unless it becomes part of a contract, in which case the legal retention periods for business records apply.

Who else sees your data

Only the providers we need to run the website and our email: our hosting provider (Vercel) and our email provider. They process data on our behalf and under our instructions. We do not sell personal data and do not share it for marketing.

Vercel Inc. is based in the United States. Where personal data leaves the European Economic Area, this happens under the safeguards the GDPR requires, such as the European Commission's standard contractual clauses or the EU-US Data Privacy Framework.

Your rights

You can ask us to show you the personal data we hold about you, to correct it, to delete it, to limit its use, or to receive it in a portable form. You can also object to our use of it based on legitimate interest. Email hello@porthos.studio; we answer within one month.

If you are not satisfied with how we handle your data, you can complain to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.

Changes

If the website starts doing something new with personal data, for example a contact form or a booking page, we update this statement first and change the date at the top.
